CWC Fundraiser Privacy Policy
Effective October 21, 2026. This policy covers the CWC Smoked Meat Fundraiser order dashboard and CWC Fundraiser Receipts email service. It does not replace the separate policies of Gymdesk, Google, Square, Venmo, or Cash App.
Information used
CWC records customer names, email addresses when provided, phone numbers, athlete attribution, meat quantities, order totals, payment method and verification references, pickup arrangements, and related board notes. Board access records identify the approved representative responsible for entries, verification, and deposit records. The dashboard uses sign-in cookies and security/rate-limit records to protect access.
Why CWC uses this information
We use fundraiser information to record orders, arrange pickup or payment, verify received payments, send payment confirmations, reconcile cash/check deposits, and calculate eligible athlete credits. Test records and test receipts do not represent actual payments or earn athlete credit.
Google and Gmail access
CWC connects its own cowboywc@gmail.com account using Google OAuth with Gmail send-only permission (gmail.send). The connection sends fundraiser payment-confirmation emails on CWC’s behalf. It does not request permission to read the Gmail mailbox. Customers do not need to authorize a Google account. OAuth credentials are stored in protected server-side secret storage and are not included in customer pages or receipts.
CWC uses Google-authorized access only for the described receipt service. Google user data is not sold, used for advertising, or used to train generalized AI models. CWC’s use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including its Limited Use requirements.
Service providers and access
Approved CWC board members access fundraiser records for club administration. Cloudflare hosts the fundraiser application and database; Google handles receipt-email delivery; Gymdesk hosts these informational pages. When a customer chooses an external payment provider, that provider processes payment under its own terms and privacy policy. CWC may share information as necessary to provide these services, comply with legal obligations, or protect security. The fundraiser dashboard does not collect full card numbers, card security codes, payment-account passwords, or bank login credentials.
Storage, retention, and requests
Records are retained as needed to fulfill orders, reconcile payments and athlete credits, resolve questions, and meet applicable recordkeeping obligations. Access to board records requires an approved account. To request access, correction, or deletion of your fundraiser information, email cowboywc@gmail.com. CWC may need to verify your identity and retain records needed for reconciliation or legal obligations.
Control of the Gmail connection
The CWC account owner can revoke the application’s Google access in Google Account settings. Revocation stops future use of that authorization but does not recall already delivered receipts or automatically delete fundraiser records. For deletion or correction requests, contact CWC.
Live service, test records, and updates
Public customer ordering is open. Payment-confirmation emails are sent after approved board verification. Board records remain restricted to approved members. Historical test records are separate from live records, do not represent payments received, and never earn athlete credit. This policy may be updated as the service changes; the effective date will be revised.
